Executive Assistant



We are looking for an Executive Assistant (EA) to perform a variety of administrative and organizational tasks. The entrepreneur is high energy, uber focused, loves his family, “pushes hard to achieve kind of guy”, and needs a right-hand person to tie up details, help support the teams he leads, and be able to have a great understanding of the business’s strategies.

The successful candidate for this position will have high character, discernment, and discretion, be truthful and transparent, have a heart to serve others, and to be able to represent yourself, the companies, and him in the community with the highest level of professionalism. You should also be able to take the lead on miscellaneous initiatives that don’t fall under anyone else’s role. Knowledge of a productivity software like monday.com or Slack is a plus here.

Some of the tasks and job functions include managing calendars, making travel arrangements, and preparing expense reports, format information for internal and external communication – memos, emails, and presentations.

To be successful in this role, you should be proactive, able to meet deadlines and communicate effectively, be well-organized, have great time management skills and be able to act without guidance. Our ideal candidate also has previous experience as an EA and is familiar with office management technologies.

Ultimately, you should be able to identify and address the needs of senior leaders and perform administrative tasks to ensure our company’s workflow runs smoothly.

Executive Assistant Responsibilities:

  • Helping prepare for and organize meetings.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Maintain customer confidence and protect operations by keeping information confidential.
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
  • Event planning
  • Accurately recording minutes from meetings
  • Making travel arrangements for executives
  • Handling communications
  • IT trouble shooting.
  • Calendar management
  • Prepare reports.
  • Client relations
  • Organizing
  • Designing office layouts
  • Preparing Agreements for various entities.
  • Provide general administrative support.
  • Conserves entrepreneurs time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Using various software, including word processing, spreadsheets, databases, social media, and presentation software
  • Completes projects by assigning work to clerical staff and following up on results.

Education and Experience Requirements:

  • Bachelor’s degree preferred, but not required.
  • Three to five years of executive assistant experience
